Type: 12 Month Maternity Cover - full time - with the potential to become permanent

An established and growing renewable energy business is seeking a highly organised Project Co-ordinator to join their operations team on a 12-month maternity cover contract, with the possibility of the role becoming permanent. You’ll support the delivery of heat pump, solar PV and battery storage projects, acting as the central point of coordination for clients, engineers and suppliers.

This is a fast-paced, varied position ideal for someone who enjoys managing multiple priorities, building strong relationships and ensuring projects run smoothly from start to finish.

Role Overview

You’ll manage the full lifecycle of renewable energy installations—from sales handover to commissioning and client sign-off. You’ll coordinate schedules, communicate with clients, support engineers, maintain accurate records and handle reactive maintenance and service appointments.

Key Responsibilities

Project Coordination

  • Manage installation projects for heat pumps, solar PV and battery systems
  • Review new jobs and check site readiness
  • Schedule installation elements including drilling, electrical works, scaffolding and commissioning
  • Order equipment and liaise with suppliers regarding deliveries
  • Track progress and update internal systems
  • Prepare handover and servicing documentation

Client Communication

  • Make welcome calls/emails and maintain regular client contact
  • Provide updates, manage expectations and resolve queries
  • Summarise calls and keep internal notes accurate
  • Remind clients of readiness requirements and key milestones

Administration & Reporting

  • Maintain job records and delivery schedules
  • Raise invoices at relevant project stages
  • Register warranties, building control and insurance
  • Produce weekly and monthly delivery/profitability reports
  • Process grant applications where required

Engineer & Operations Support

  • Schedule engineers and confirm resource availability
  • Support equipment, PPE and van checks
  • Assist with training coordination and job readiness
  • Escalate technical queries to senior colleagues
  • Help with stock management and reorders

Reactive Maintenance & Servicing

  • Take incoming fault calls and schedule urgent repairs
  • Maintain service logs and ensure timely resolution
  • Coordinate annual servicing appointments
  • Send service reminders and follow-ups

Skills & Experience

Essential:

  • Strong administration and customer service experience
  • Excellent written and verbal communication
  • Good Microsoft Office skills (Outlook & basic Excel)
  • Strong time management and attention to detail
  • Problem-solving ability
  • Within commutable distance of Dronfield
  • Fast learner with a proactive mindset

Desirable:

  • Experience using simPRO or similar project management tools
  • Background in customer service, sales or coordination
  • Knowledge of heat pumps, solar PV or battery systems (training provided)
