Executive Assistant / Office Manager – Part Time

Sheffield | £35,000 pro rata | Permanent | Part Time

3 days per week – with flexibility to work the hours across 4 or 5 days

A really lovely opportunity has come up for an experienced Executive Assistant, PA or Office Manager to join a well-established Sheffield business.

This is a genuinely part-time role offering flexibility around how your hours are worked. The requirement is approximately three days per week, but the business is happy to consider someone who would prefer to condense those hours across four or five days.

The role is varied, interesting and certainly not your typical PA position. You’ll work closely with the Directors, helping to keep the business organised and running smoothly, whilst also getting involved in office management, marketing, communications and finance administration.

If you’re someone who enjoys variety, is highly organised and likes being the person who makes things happen, this could be a great fit.

What will you be doing?

There’s a real mix to the role, including:

Executive & PA Support

  • Managing diaries and arranging appointments

  • Organising travel and logistics

  • Liaising with clients and contacts on behalf of the Directors

  • Preparing reports, presentations and correspondence

  • Creating PowerPoint presentations, graphs and supporting documents

  • Providing some personal administration support to the Directors

Office Management

  • Looking after the day-to-day running of the office

  • Managing office supplies and stationery

  • Liaising with IT support and helping with day-to-day IT queries

  • Managing renewals including insurance, phones, databases and IT licences

  • Maintaining filing, holiday and absence records

  • Supporting the onboarding of new staff

  • Taking ownership of general administration and making sure things get done

Marketing & Communications

This is an area that will become an increasingly important part of the role, so it would be great if you enjoy the creative side of business support too.

You’ll be involved in:

  • Updating the company website

  • Creating brochures, presentations and marketing materials

  • Supporting marketing campaigns and activity

  • Managing social media and creating content

  • Developing the company's LinkedIn presence

  • Creating email marketing and mailshots

  • Helping organise seminars, events and networking

  • Maintaining the company database and professional contacts

Finance Administration

  • Supporting bookkeeping and maintaining financial records

  • Updating cash books, payroll records and invoice registers

  • Using QuickBooks

  • Supporting VAT preparation

  • Raising invoices and logging payments

  • Supporting credit control

  • Processing expenses

What are we looking for?

You’ll probably have worked previously as an Office Manager, Executive Assistant, PA, Senior Administrator or in another broad business support role.

More importantly, we’re looking for someone who is:

  • Highly organised and able to manage a varied workload

  • Confident juggling multiple priorities

  • Proactive and happy to use their own initiative

  • Professional with excellent attention to detail

  • A strong communicator, both written and verbally

  • Confident with Microsoft Office, particularly Word and PowerPoint

  • Comfortable supporting senior people or Directors

  • Able to work autonomously and take ownership

  • Interested in marketing and communications

It would be great if you also had experience with social media, website content, Canva, events or finance administration, although you certainly don't need to tick every box.

QuickBooks experience would be useful but isn't essential.

Why this role?

This is a role where you can really make it your own.

You won’t simply be managing someone’s diary. You’ll become a trusted member of the business, working across different areas and having the freedom to organise your workload and use your initiative.

And importantly, it’s part time.

So, if you’re an experienced EA, PA or Office Manager who is looking for a senior, varied role but doesn’t want to work full time, this could be a fantastic opportunity.
